Determine Event & Lodging Needs 

We review your event history; ask you the right qualifying questions so we can help you save on the bottom line. What is most important for this event?8

  • Location of the venue to entertainment areas or airport?

  • Staying within a particular budget?

  • Attendee experience?

  • Hotel concessions?

  • Are you willing to start your program on a Monday if the hotel is willing to give you significant discounts?

  • What is your attrition flexibility?

  • Will there be any Food & Beverage or Audio Visual needs we can pre-negotiate during the RFP process?


Custom Proposal Management:

Once we identify your event objectives we can help craft a custom Request for Proposal (RFP) to make sure your event and hotel needs are attractive to potential host hotels. Our job is to make sure hotels are incentivized to give you the best bid possible.


Coordinate and Manage Hotel Bids:


We leverage our national hotel and bureau contacts to manage and coordinate the RFP process. Your inbox won’t be full of long proposals or calls from hotels. We coordinate and communicate with all of the potential host hotels.

Contract Negotiation:

Now that we have your top choices, it’s time to go to work and leverage our industry expertise to help maximize savings through:

  • Additional concessions and discounts

  • Financial risk mitigation through cancellation and attrition terms

  • Creative ways to get more in your food and beverage menus

  • Audio Visual is a large cost to most events, often, we can pre-negotiate rates for audio/visual needs


Your company and contact information will be on the contract with the venue/hotel. Our Brokerage firm will be referenced as your agency of record.


Once the event is under contract, we step back and let you plan the program! Of course, we are always here as a resource during your planning process.

Rooming List & Reservation Management:

After the contract phase is finalized and your group is ready to make reservations, your account manager will assist you with hotel communication, changes and getting added inventory if your cut-off date has passed.
